Job description / Role

Employment: Full Time

Objectives: Responsible for the timely and accurate processing of immigration related tasks with the Department of Labour and Immigration Services in compliance with Qatar and regional Labour laws and applicable regulations in order to provide timely, accurate, and responsive services to the company in accordance with Al Mana policies.

Main responsibilities:
• Manage the allocated petty cash expenditure by maintaining original receipts and through timely preparation of regular expense reports
• Process government transactions and organize visits to government agencies in an efficient and timely manner to minimize cost and avoid penalties and additional fees
• Establish and maintain productive working relationships with key and operational government offices which includes Ministry of Interior, Municipality, Ministry of Economy & Commerce, Ministry of Business and Trade, Consumer Protection Department, Customs, Airport Authorities, and other Ministries and agencies, etc. in order to assist with the efficient processing and approval of requests and formalities
• Ensure the timely and efficient processing of all relevant government and immigration related processes
• Process immigration requirements in the most effective and efficient manner to expedite recruitment of resources to expedite onboarding of new employees
• Keep Human Resources and Administration updated with issues, risks, and status of government and immigration processes and recommend solutions to remedy them
• Ensure that immigration procedures are completed in minimal time (Resident Permits, Drivers Licenses, Visas, CID procedures, etc.)
• Process departure and exit formalities for employees after cancellation of visas as requested by the HR representative
• Update and process staff information pertaining to immigration/residency accurately and on time
• Enter accurate and timely data entry into the system of approved staff transactions on daily basis
• Maintain employee files and documents relevant to immigration
• Ensure high standards of confidentiality to safeguard commercially and business sensitive information
• Maintain a stock of forms used for all types of immigration transactions
• Prepare all the required forms and obtain relevant approvals
• Support the business with administrative formalities in specific with clerical, administrative tasks that require Arabic

Reporting to: General Manager and General Manager - Human Resources

Travel requirements: frequent travel within Doha

Requirements

University Qualifications: High School Diploma

Nature and length of previous experience: Minimum of 4 years experience in a government relations role in Qatar
