Uniform Specialist - Qatar Airways - Doha

Confirm that uniform standards are met ensuring distribution and delivery of uniforms and other uniform material to staff in a systematic and orderly manner, will be fully aware of all deliverables to be made on each day and ensure that the employees within the area achieve the set targets for the day. Ensure excellent customer service and standards are set and be able to run a consistent, pleasant, seamless and trouble-free environment. Provide leadership guidance to the staff within the area in order to assure contribution to a smooth and efficient running of the Uniform Service Centre. Responsible to communicate appropriate customer needs to the employees and maintain appropriate inventory of uniforms and all stock items guaranteeing distribution to QR Outstations in a timely and cost efficient manner.

Operational
* Controls all generic email boxes for both male and female uniform requests, responds and updates customers, colleagues and stakeholders with information related to uniform order or deliveries. Ensures emails are responded to by the team within stipulated time periods and with appropriate responses as defined in the SOP’s.
* Dispatch acknowledgement or follow-up communication to all Outstation Uniform Administrators regarding uniform backorders, late deliveries or unfulfilled requests and ensure to resolve them at the earliest without any delays.
* Decide on a set target after discussions with management and establish target goals as per business needs and company requirements, ensure that all staff adheres to the business plan as required.
* Advice employees on unexpected modifications to situations on all deliverables, provide support and all necessary assistances as required to avoid delays or interruptions to services.
* Identify and recommend continuous improvement / international best practice activities in the area of management reporting, information flow, business process and organizational planning to the head of department.
* Supervises the Issuance Team responsible for all new joiner and entitled staffs uniform transactions.
* Recommend and suggest concepts in order to simplify uniform delivery process by proposing systems and procedures where all distributions are tracked efficiently. Ensure that the Uniform Stores are maintained with a high standard.
* Perform other department duties related to the position as directed by the Head of the Department.

Quality Control
* Administer and supervise junior employees within the Uniform stores ensuring operational processes are followed and provide necessary support by way of guidance and leadership in order to safeguard business unit’s growth.
* Work closely with QR Departments and Subsidiaries when interpreting trends in order to facilitate planning of new joiner fitting and trial sessions, uniform rollouts and entitlement for staff to minimize lengthy service delays.
* Supervise all QR Outstations for entitlement and new joiners in “Q-Style” uniform management system, this includes but not limited to inbound/outbound shipments which are of high-value and critical in nature due to huge volumes and quantity received by air or sea route.
* Supervise Oracle user Outstation changes, verification of UAT and activate/deactivate staff positions in the HR system.
* Oversee Uniform disposal program and confirm that it is done as per QR standards with no harm to the environments by ensuring that it is done in a systematic and efficient manner.
* Touring the uniform store regularly to ensure standards for quality, customer service, security, health and safety are met.
* Protect store assets and inventory. Supervise loss prevention (shrinkage) by controlling theft and/or waste by ensuring compliance with policies and procedures.

Logistics
* Assist Line Manager for the future needs relating to storage area, system supports, budgeting, policy changes and future retail location identification. Work closely with Line Manager to develop guidelines for material handling, storage, manpower allocation, facility set up, auditing, budgeting to facilitate optimum cost savings results. In addition to this, shall carry out duties and responsibilities as assigned by Manger Uniforms.
* Assist Line Manager in evaluating methods, implement guidelines, policies/procedure to upgrade and maintain appropriate tools in storekeeping, handling techniques, system developing and processing, selection of appropriate tools and equipment for a suitable store layout.
* Work closely with the Uniforms team with departmental requirements and logistical needs and reduce expenses by introducing cost saving initiatives such as waste management and recycling of items.
* Manage outbound and inbound cargo shipments; liaise with station personnel and clearing agents, transporter, security agents and custom clearance team.
* Ensure adequate storage levels are maintained at the warehouse and maintain inventory levels at the uniform store so that there is no shortage at any time.

Supply Management
* Supervise the controllable expenses including purchase collateral, supplies, recycling of staff uniforms and vendors such as security, cleaning and waste disposal management.
* Oversee and assist in the development of management reports, including intervention to all customer complaints received within Uniform stores and provide resolutions.
* Supervise the issuance team ensuring effective delivery of internal service, customer satisfaction, and continuous improvement of the department’s products and services.
* Operates the company vehicle in order to support Uniform Centre operational requirements by ensuring that deliveries or pick-ups are initiated in time, assist with pick-ups or delivery as and when required so as to maintain schedule and timelines.

Management & Leadership
* Supervise and guide issuance teams’ manpower and resources planning process for the business unit.
* Encourage and improve work culture including building and maintaining team spirit by fostering communication and interaction amongst peers to develop strong bonds and building relationships thereby making interactions and relation management easier.
* Perform daily briefing and/or coaching sessions to ascertain that each staff member is updated on the application standard and procedures.
* Establish the team’s objectives and priorities to align with and support business objectives.
* Regularly evaluate the teams objectives, plans, procedures and practices, and makes appropriate changes if needed.
* Oversee and supervise employees. Direct daily activities, recruit, train, develop and discipline to ensure a high standard of service delivery.
* Train and develop other employees, to ensure succession planning is in place.

Personal Development
* Take responsibility for own ongoing personal development and growth of expertise.
* Keep abreast with any market trends and developments
* Assist in the response to any emergency or a major operational disruption affecting Qatar Airways or its subsidiaries, including support of the Qatar Airways Special Assistance Program.
* Train Qatari staff in various duties as per business requirements

Operational Safety
* Responsible to ensure that employees at all levels understand work health and safety requirements and expectations through provision of relevant QR Group induction, information, instruction, training and supervision.
* Ensure compliance to all relevant safety, security, quality and environmental management policies, procedures and controls across the operation to assure employee safety, security, legislative compliance and delivery of high quality service with a responsible environmental attitude.
* Ensure that all managers and supervisors understand work health and safety requirements and expectations to the extent that they can pass on relevant information, identify training needs and provide appropriate supervision in their workplace.
* Take a direct and personal interest in reported injuries, incidents, near misses and hazards to ensure that appropriate reporting, investigation and response is being achieved.

Environmental Competencies
* Contribute towards Qatar Airways Group Environmental Objectives and targets and the implementation and maintenance of the Environmental Management System.
* Apply environmental knowledge and principles in your role, and incorporate this into business processes and decision making, to drive efficiencies and reduce environmental and operational risks.

Requirements

Essential
* Relevant College or University qualification to min Bachelor's level or equivalent

Preferred
* Degree in fashion design or textile design or equivalent will be an added benefit.
* Technical and theory based apprenticeship with a major brand or organisation for a minimum of 1 year or similar experience.

Previous Experience:

Essential
* Minimum 5 years relevant experience
* 3 years’ experience in a position responsible for textile material and branding or similar.

Preferred
* Job titles or roles similar to Boutique Manager, Fashion Designer, Textile production planner, Visualizer, or similar positions related to the scope of work.

Job Specific Skills:

Essential
* Command of English language.
