Overview:
The Management Assistant provides administrative support to management staff within an organization. This role involves a variety of tasks aimed at facilitating smooth operations and efficient communication within the management team.

Responsibilities:

- Administrative Support: Provide administrative assistance to management staff, including scheduling meetings, managing calendars, making travel arrangements, and preparing documents and presentations.
- Communication: Serve as a liaison between management and other departments or external stakeholders. Facilitate communication by answering phone calls, responding to emails, and relaying messages accurately and promptly.
- Data Management: Organize and maintain electronic and paper files, ensuring that information is easily accessible and properly documented.
- Research: Conduct research as needed on topics relevant to the organization or specific projects, compiling information and summarizing findings for management review.
- Event Planning: Assist in planning and coordinating events, such as conferences, workshops, or team-building activities, including logistical arrangements and communication with participants.
- Monitoring Expenses, Processing Invoices
- Office Management: Oversee office supplies inventory, order supplies as needed, and ensure that office equipment is maintained and operational.
- Confidentiality: Maintain confidentiality of sensitive information and exercise discretion in handling confidential documents and communications.
- Ad Hoc Tasks: Handle various ad hoc tasks and projects as assigned by management, demonstrating flexibility and willingness to assist wherever needed.
- Attending Meetings and Writing MOMs: Attend meetings and write minutes of meetings (MOMs) and distribute them to management members.
- Accompanying Management Members on Visits: Accompany management members when needed in visits, and handle tasks related to official entity and bank visits, including arranging paperwork and similar tasks.

Work Environment: Typically works in an office setting, but may occasionally need to travel or attend off-site meetings or events. May be required to work occasional evenings or weekends to support special events or projects.

Requirements

Qualifications:

- Education: A high school diploma is typically required, though a degree in business administration or a related field may be preferred.
- Experience: Previous experience in administrative support roles is advantageous, particularly in a corporate or office environment.
- Organizational Skills: Strong organizational skills are essential for managing multiple tasks and priorities effectively.
- Communication: Excellent written and verbal communication skills are necessary for clear and effective communication with management, colleagues, and external contacts.
- Computer Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment and software.
- Attention to Detail: Attention to detail is crucial for accuracy in document preparation, data management, and other administrative tasks.
- Problem-Solving: Ability to identify issues, analyze problems, and propose solutions in a proactive manner.
- Team Player: Ability to work collaboratively with others and provide support to colleagues as needed.
- Professionalism: Demonstrate professionalism, discretion, and confidentiality in all interactions and tasks.
- Driving Licence
- Valid Ikame in Riyadh
