Roles and Responsibilities

- Conduct day-to-day activities while ensuring compliance to policies and procedures
- Contribute to the identification of opportunities for continuous improvement of systems, processes in line with leading practices
- Establish working relationships with relevant internal stakeholders
- Collect feedback from internal stakeholders on issues being faced and other requirements
- Contribute to the preparation of progress reports directed to all relevant stakeholders to keep them informed of progress
- Meet and greet visitors and ensure they are correctly directed to concerned individuals
- Answer phone calls and take messages or redirect calls ensuring all queries are properly addressed
- Operate office equipment such as copy machines, faxes and phone systems, and coordinate for maintenance when required
- Coordinate with concerned stakeholders informing them of meeting occurrence and time to ensure the attendance of all required parties
- Organize Direct Manager's meeting agendas and schedules and coordinate logistics requirements to ensure the availability of necessary stationary and hospitality services
- Attend meetings as needed, respond to questions and requests, and document attendance to inform Direct Manager of any missing attendees
- Review and assess received queries in order to come up with suitable responses in accordance with Direct Manager's directions and instructions
- Prepare letters, emails, reports, and correspondences as directed using proper professional language and coordinate with concerned stakeholders to ensure timely delivery
- Update database accurately with internal and external names and numbers for proper tracking and future reference

Requirements

Job Qualifications and Requirements

- 0 to 2 years of experience in an Administrative Services field
- Bachelor's Degree in Administrative Affairs or equivalent is required
