Job description / Role

Employment: Full Time

Be a part of our International Consultancy business that spans our five global hubs, where we oversee work for world leading organisations across the public and private sectors.

Will be responsible of monitoring and archiving of documents required by all works both at the field and in the office.

Will have a complete command over the document control system installed by the PMT and approved by the Corporation and will carry on working according to this procedure.

Responsibilities Include
• Create documents when necessary, and will track all correspondences.
• Carry out, systematically, both printed and digital documentation of documents throughout the working period.
• Ensure that the Corporation accesses the document it wishes as soon as it requests.
• Conversant with all process & procedures for the Programme and Projects and their implementation on the relevant systems.
• Supervises the performance of individual members of the document control team on a project-by-project basis, ensuring the efficient delivery of project requirements.
• Performs document controller’s duties when others are on leave.
• Delivers training on procedures and document protocols internally, to the client teams and supply chain.
• Ensures the team’s adherence to the processes and procedures and provides guidance when deviation occurs.
• Performs a comprehensive quality check on each document and associated documents, in accordance with the programme defined documents protocols.
• Performs periodic quality checks to the system registers.
• Supports the team on routine and ad hoc project-wide assignments.
• Produces quantitative, status and analysis reports.

Requirements

• Degree Qualification is essential for client approval.
• Professional Memberships are an advantage but not essential.
• At least 5 years of experience in similar role.
• Must have intermediate to advanced knowledge of MS Office packages especially Word, Excel, PowerPoint, and Outlook.
• Excellent organisational skills.
• Ability to manage multiple and changing priorities in a high volume environment.
• Accuracy and attention to detail.
• A high degree of expertise in technical data management.
• Experience of SharePoint and BIW or other on-line collaboration tools.
• Experience of supporting programme/project focused teams in property or construction environments.
