Job description / Role

Employment: Full Time

Key responsibilities

Support of Principals – using strong organisational skills to ensure that legal advisers have all the information they require:

• Email inbox management and ensuring prioritising of emails received and workload
• Proactive management of finance related tasks, looking to legal advisers for clarification if unsure

Financial Administration – providing a comprehensive financial administration service to support legal advisers:

• Providing financial administrative support to legal advisers; ensuring compliance with legal, firm-wide and practice group specific policies and procedures
• Proactive billing and financial support; monthly/quarterly billing runs; management of client accounts; resolving internal/external financial queries; preparation and submission or payment of third party invoices, dealing with incoming and outgoing monies
• Taking control of the ‘complex’ client requirements with regards to e-billing systems and specific requirements at matter set up
• Database management; to include rate changes at client and matter level, proactively closing files once all outstanding invoices have been paid and ensuring that any requisite changes are made to the Elite database
• Preparation and submission of legal advisers’ expense claims; securing receipts and information following client meetings
• Preparation of other finance forms including monthly billing and submission of such forms to the accounts teams
• Competent use of Elite Webview and knowledge of GL codes to deal with queries/print off reports/submission of such to accounts for processing
• Carpe Diem Entry

Support of colleagues – working with others as part of a team:

• Takes account of others’ workloads and offers to help
• Share knowledge of IT systems and other specialist skills
• Any other task allocated by legal advisers or office manager to reduce nonchargeable time being incurred by legal advisers

Skills and experience

The successful candidate will have a good understanding of basic computer packages including Excel and will continue to build their knowledge by attending appropriate training courses.

The candidate will be highly motivated and passionate about working as part of a team to identify and drive process improvement and efficiency. A problem solver, with the ability to quickly grasp and learn new systems.

High degree of competency in spoken and written English.
