Job description / Role

Employment: Full Time

Accountable To

The Documentation Clerk is responsible for compiling transportation billing documents listing details of freight shipped by carrier: Verifies information on manifest, such as name of shipper, weight, destination, and charges from bills of lading and shipper's declaration. Computes totals of document items, using adding machine. Compares figures and totals on documents with statement of accounts submitted by accounting department to verify accuracy of documents. Resolves discrepancies on accounting records or manifest. May notify shipper's agent.

Responsible for

Core Responsibilities:

· Demonstrates a high standard of knowledge and understanding of HSE policies and procedures and makes recommendations for improvements. Required HSE training is completed and up to date.
· Checking and processing various types of Customs Bills i.e. Import, Export Bills.
· Collection of Port Charges for container handling, break bulk, general cargo or customer’s requested services as per tariff or TER and accordingly, issuance of Receipt/Credit Receipt to customers.
· Ensure the accuracy of collection against the Collection Report, to be handed over to the Head Cashier at the end of duty.
· Prepare token slips for FCL deliveries after checking the validity of the documents and accuracy of payment.
· Updating the Express Manifest, if required
· Attend to customers’ needs, queries; provide assistance to resolving issues at the counters.
· Relieve and assist for billing procedures.
· Assist towards issuance of Token (as and when required).
· Performs other functions as may be directed by the Supervisor, Documentation.
· Container/cargo related documentation, such as acceptance letter from the shipping line, custom declaration, delivery order and all information about the container.
· Enters registration and/or updates information in the computer.
· Check the container weight, condition and seal(s).
· Notifies Customs to inspect the cargo; coordinates inspection activity.
· Coordinate container delivery/pick-up with the planning department like transfer of container to yard or outside.
· Forwards copy of invoice and other supporting documentation to Finance to ensure that the client is billed for the services rendered.
· Advise clients on terminal routing and procedures.
· Updates the registration numbers of the loaded and discharged containers, verifying and checking any discrepancies that may arise.
· Checks all containers for damage prior to loading or on discharging. Immediately informs foreman of any damage observed.
