International Design practice are looking for an addition to their growing Operations Team to support the current and intended growth of the business in the middle East, Europe and Asia.

Reporting to the Commercial Manager the Commercial Assistant will assist with a wide range of Commercial activities, including corporate governance, contracting, and the development of fee proposals. The Commercial Assistant will ensure the required documentation to support these activities is created and maintained.

Key responsibilities will included assisting the Commercial Manager with Corporate Governance documentation and for new company formations, whilst maintaining filing systems. Assisting with renewal of business licences and creation and maintenance of compliance data rooms.

Assisting in ensuring file management of signed consultancy agreements, inputting crucial contractual obligations into electronic files and physical files. Working with the Commercial manager to review consultancy agreements and the risk register maintenance.

Assisting in proposals and fee bids, this individual will be tasked with set up of financial models for fee proposals and maintaining such documents throughout the process. Drafting of fee proposal letters, obtaining internal permissions/signatures and issuing to clients, ensuring presentation of such documents is of highest quality.

Review filing against QA/QC requirements every 6 months to ensure this practice is compliant against the documented consultancy agreements and fee proposal processes.

Due to fast pace nature of this company, this person will be required to get involved in other responsibilities, as and when required.

Requirements

Demonstrable recent experience in a similar position.

Reviewing and understanding contract terms.

Working with complex Excel workbooks and formulas.

Desirable:

Experience within the architecture / engineering sector or construction industry.

Strong professional interpersonal skills; ability to interact effectively with people at all organisational levels within the firm. Must be highly proficient in both spoken and written English. Full professional efficiency at minimum.

Expert level of Microsoft Office Suite, including Word, Outlook, and Advanced Excel skills is required. Adobe Indesign experience is desirable.

Professional and hard-working. Detail-oriented, well-organised, and able to multi-task + prioritise.

Uses initiative, takes ownership and is self-sufficient. Ability to manage deadlines under pressure and able to work overtime on an adhoc-basis, if required to deliver to project deadlines.
