Job description / Role

Employment: Full Time

The Department Manager is responsible for payroll process to ensure the timely and accurate administration of employee compensation in accordance with established policies and within the required turnaround time.

Main Responsibilities

Payroll Process
- Responsible for the whole Payroll process for designated companies/business units
- Payroll system entry and follow-up of employees’ deductions, loans, additions, commissions, unpaid leaves
- Check if all new comers have been entered in the system
- Calculate the final dues for leavers or transferred employees in accordance with local laws and Group’s policies and procedures
- Check and review payroll information and/or documentation for the purpose of ensuring accuracy and adherence to procedures prior to processing
- Prepare and ensure timely submission of monthly salary entries and provisions in accordance with accounting standards, principles and each BU’s requirements
- Coordination with HR and/or finance departments to obtain required documentation for the purpose of conveying information necessary to complete transactions
- Check coherence and reconcile staff allocation in the payroll versus budgets, division feedback ,etc
- Respond to written and verbal inquiries for the purpose of providing information and/or direction
- Perform other related duties, as assigned or as and when required.

Audit
Preparation and maintenance of schedules required for a company’s annual audit:
- Bonus Provision
- Indemnity Provision
- Leave Provision
- Other audit schedules that may be required sporadically
- Reconciliation of general ledger balances (balance sheet accounts) against manual schedules of provisions
- Month-wise reconciliation of personnel expenses per GL versus payroll schedules
- Coordination with external auditors

Man Management
- Supervise assigned personnel (e.g. training, evaluation, etc.) for the purpose of enhancing productivity of staff, and ensuring that department objectives are achieved
- Organize workload of the team for the purpose of maximizing efficiency of the work force to meet operational requirements
- Ensure proper and comprehensive orientation of new employees
- Responsible for conducting periodic performance appraisal to all assigned staff, monitor growth, development, engagement and motivation, coaching and guiding the department’s employees.

Other
- Monthly reconciliation of subsidiary and general ledger balances related to salaries
- Proper file maintenance - printouts or soft copy – in a safe and secure manner
- Periodic calculation of employees’ variables
- Preparation and maintenance of salary data and personnel costs by BU for a minimum of three (3) budget exercises each year plus 3-year plan if applicable or required

Requirements

- University Graduate in Accounting, Finance, Business Administration or Commerce
- CPA or equivalent qualification
- 5-7 years of similar experience

Linguistic Skills:
- English
- Arabic
- French
