Job description / Role

Employment: Full Time

Purpose: Undertake various functions related to document control, document archiving, document imaging and maintenance of document register for the Hydrocarbons Project. Role holder would be under minimum supervision of his / her superior

Roles and Responsibilities:
- Assists in maintaining project documentation files consisting of technical data, engineering and supplier drawings, technical specifications, purchase orders, and other project-required documents.
- Updates and maintains project document control record keeping system.
- Prepares transmittals, and makes distribution of engineering, supplier, and technical data as required.
- Interfaces with reproduction department for required reproduction associated with distribution and copy requirements of engineering, supplier, and technical data as per project procedures.
- Responsible for routing, recording, monitoring, and expediting office checks of engineering and supplier data as required.
- Accumulates certified supplier data and other required technical documents.
- Implements and maintains project document control record keeping system
- Generate the various document control reports as required.
- Typing of site documents, and follow up of all the site needs ·
- Makes sure that controlled copies of latest approved documents and drawings are given to the appropriate staff, subcontractors and suppliers as applicable ·
- Maintain updated records of all approved documents and their distribution clearly ·
- Timely distribution of latest revision level documentation to all appropriate users and ensure that obsolete documentation is removed from distribution ·
- Maintain a computer database of all filed documentation that ensures fast retrieval of documents. ·
- Perform duties as defined in division document control policies and procedures. ·
- Numbering procedure development and maintaining hard/soft copies
- Coordinating with Office and site team
- Managing of books/ Library

Requirements

- Degree in Graduate or Post graduate or Diploma in library science
- 5 Min years’ Experience as Data Controller in upstream Oil and Gas.
- Good communication and interpersonal skills.
- Ability to multi-task and manage projects.
- Willing to travel
