Job description / Role

Employment: Full Time

Smooth running of day-to-day internal activities of the CEO’s Office that ensures efficient execution of all tasks and duties. This includes but is not limited to following up on actions and decisions on matters related to EVP Ports Office; exchange of internal correspondence; following up on action items assigned internally etc. Organizing and coordinating office tasks and assignments with external stakeholders in order to ensure effectiveness and efficiency of the CEO’s office management.

Objectives and Role Profile

• Provide high-level administrative support to the CEO, Fujairah and perform administrative functions such as preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings, preparing reports and presentations and handling information requests.
• May also train and supervise other administrative staff.

Key Tasks and Performance Indicators

Core Responsibilities:

• Performing various executive and administrative support duties that are highly sensitive and confidential.
• Planning and coordinating arrangements for professional meetings and conferences.
• Composing memoranda and letters.
• Receiving and screening visitors and incoming calls, determining the priority matters, and providing alert messages to the EVP accordingly.
• Reading and screening incoming reports and correspondence; making preliminary assessment and organizing documents.
• Researching, compiling, assimilating, and preparing sensitive and confidential documents, and briefing the EVP regarding content.
• Reviewing, proofreading, and editing documents developed for the signature of EVP.
• Coordinating and facilitating the executive’s calendar to arrange meetings, appointments, and conferences.
• Making travel arrangements, preparing itineraries, preparing, compiling, and maintaining travel records and vouchers.
• Recommending actions to be carried on office expenditures like supply and equipment needs.

Requirements

Qualifications/Experience/Competencies

• Bachelor Degree in business administration or equivalent (preferred)
• Excellent command of both Arabic and English languages
• Minimum five years in a similar position
• Experience in secretarial and administrative support work and office work, supervising support staff and providing secretarial and administrative assistance to senior executive level.
