Job description / Role

Employment: Full Time

Administrative & Secretarial Work Processing
 
- Schedules appointments, coordinates travel and accommodation arrangements and produces related documents as required (e.g. booking itinerary).
- Issues standard letters and faxes on departmental related issues.
- Acts as a receptionist for visitors and callers ensuring cordial hospitality to all visitors.
- Undertakes routine clerical activities and conducts additional research when necessary to support on-going business operations.
- Liaises externally to clarify facts and resolve queries or problems.
- Screens incoming mail and telephone calls and any other correspondence.
- Maintains all legal and governmental contacts that relate to the activities of the Legal department and reaches them during emergency or non – emergency situations as required.
- Designs and maintains appropriate filing and data retrieval systems in order to ensure ease of access to required information/documents at all times.

Requirements

- 3- 5 years’ experience with strong secretarial background
- Undertakes routine clerical/administrative/secretarial activities within the Legal department. Coordinates department internal and external business affairs including business appointments and travel booking.
- Good experience in the field of Administration & Secretarial support, possess strong analytical & problem solving skills, with an ability to make thought out decisions, Resourceful in completing projects & efficient in multi-tasking, have the ability to quickly identify problems as well as provide appropriate solutions.

Energetic & self-motivated with a high degree of cultural sensitivity, Self-starter with a drive to succeed. Can work under pressure & meet deadlines.
