We are now seeking an exceptional Executive Assistant to join our award winning team based within our Abu Dhabi Office.

This critical role will be responsible for providing administrative and operational support to the MD in order to ensure the most effective utilization of the MD's time to facilitate their priority focus on strategic, high value leadership and management tasks and responsibilities.

Responsibilities

Paramount to success within this varied role will include;

- Managing the MD's calendar, taking into account communicated priorities, potential conflicts, logistical considerations, and multi-calendar integration.
- Proactively anticipating calendar events such as travel and meeting arrangements as required, including coordinating participants' availability, venue, catering, and accommodation requirements.
- Providing daily and weekly briefing planning packs to the MD to keep him well informed of upcoming commitments and responsibilities,
- Arranging complex and detailed travel plans, itineraries, and agendas; and compile documents for travel-related meetings.
- Assisting in coordinating the agenda of senior management team meetings. Recording meeting discussions, preparing an account of the meetings and designates, and following up on assigned action items.
- Communicating with the general staff on the MD's behalf and coordinating logistics with high-level meetings both internally and externally.
- Creating and maintaining systems and processes to optimize the MD's productivity and general office operations.
- Conserving the MD's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
- Prioritizing conflicting needs; handling matters expeditiously, proactively, and following through on projects to successful completion, often with deadline pressures.
- Preparing communications and reports for CEO and Boards, including the collection and analysis of information required for drafts.
- Editing and completing first drafts for written communications to external and internal stake holders

Requirements

Qualifications

- To be successful in this dynamic opportunity, we envision that you will bring a minimum of 8 years' of relevant secretarial experience, of which 5 years have been providing support for upper-level management with a Bachelor degree.
