Job description / Role

Employment: Full Time

Job Purpose:

Executive Assistant / Secretary, works closely with Board of Directors to provide secretarial and administrative support, usually on a one-to-one basis. Helps to make the best use of their time by dealing with secretarial and administrative tasks.

KEY ACCOUNTABILITIES:

- Responsible for maintaining & managing the Board of Director’s daily calendar and schedule
- Arrange meeting invites and appointments for the BOD’s;
- Attend meetings and take minutes as and when required
- Act as the Director’s first point of contact and liaise with people from both internal and external organizations
- Responsible for drafting correspondence, official letters, agendas, reports, slide presentations and other documents
- Responsible for screening telephone calls, enquiries and requests
- Plan, organize and arrange the Board of Director’s travel itinerary including but not limited to ticket and hotel bookings, visa processing, and other documentations related to the travel
- Responsible for devising and maintaining office systems, including data management, filing and document tracking and circulation.
- Coordinates incoming and outgoing communications and documentation, including distribution as appropriate, obtaining background information and preparing standard replies on behalf of the Board of Director’s
- Prepare payments as and when necessary to pay the Chairman’s personal credit cards, insurance (Medical and travel) premiums, etc.
- Take care of Trademark registration for the company brands.
- Maintenance coordination works related Directors residence.
- Any other tasks/functions as required by Management

Requirements

KNOWLEDGE AND SKILLS REQUIRED:
- Possess excellent communication
- Must have pleasing personality
- Well organized and disciplined
- Reliable, trustworthy and persistence
- Proficient in English, speaking, writing and listening
- Proficient in drafting correspondences
- Ability to work with minimal supervision
- Responsible attitude
- Possesses the capability to Skills in organizing, prioritizing, and scheduling workflow
- Able to efficiently work on computer – MS Outlook, Excellent Excel, Word, PPT skills.
- Able to browse through internet easily and search required information.

QUALIFICATION /EXPERIENCE:
- Graduate
- 5- 8 years’ UAE experience in the executive secretarial field.
