Job description / Role
This is a senior Corporate Executive Assistant role, reporting to the Group CEO of this established and well-respected group of companies. Based in Dubai, your role as the Executive Assistant will be to provide a full spectrum of senior level and seamless support to the Chief Executive Officer and ad hoc tasks to support his team. Your role will also include producing complex documents and presentations in preparation for Board and Executive Committee meetings. You will also be at the forefront of their client base and be responsible for building strong relationships both with internal and external stakeholders across the diversified businesses.
The role encompasses day to day operational management of the Group CEO’s office, ensuring it runs efficiently and smoothly, screening and prioritizing calls and meeting requests and delegating appropriately. Additionally, you will also be responsible for arranging meetings, conference calls and all other meeting logistics to ensure the needs of the CEO are met with upmost efficiency. Extensive and often complex diary management is required to ensure the demanding and fluctuating schedule is always up to date. Other tasks will include email & contacts management, drafting and proof-reading correspondence in English, compiling speaking notes for conferences and interviews and engaging with event organizers and suppliers as required. There will also be maintenance for the office and personal filing, ensuring all records are up to date, undertaking of research when required and interfacing with internal and external stakeholders such as government entities, clients and service providers in order to provide information and handling any issues that arise independently. There is also an element of basic book-keeping to manage the Executive’s personal and work expenses and responsibility for extensive official and personal travel scheduling and all related logistics, transport, accommodation, visas, licenses and registrations which need to remain current and up to date at all times. As is the case with all C-Suite level support roles at this level, there will be management of confidential and private adhoc matters as and when they arise, where considerable judgment and discretion in completing assignments must be exercised.
The successful applicant will be completely fluent in Arabic, English and French, both spoken and written. A proven track record of supporting C-Level Executives, experience and interest in internal and external communications and partnership development will be mandatory. It is important to stress that this is a strategic support role to a very busy and well-respected individual. Hence, candidates will be expected to be highly flexible and adaptable to the needs of the CEO and the business and appreciate this will not always involve working standard hours.
