Job description / Role

Employment: Full Time

Purpose
• Support the Finance Manager and / or the CFO in recording and retrieving financial details of the company, including maintaining financial records, processing payments, cash handling and salaries.
• Provide a complete finance service to the Dubai office, with direction from London, addressing all issues of a finance nature and providing all relevant information to meet external demands. These services may include, but are not limited to, any of the following: budget setting, reporting and control, income management, financial reporting to external bodies, annual accounts preparation, debt management, month end preparation.

Tasks and responsibilities
• Support the Managing Director - Middle East, with all finance related day to day operations
• Work closely with the Finance Manager and / or the CFO to ensure smooth operation of all finance matters
• Support the Finance Manager and / or the CFO by inputting into sales and purchase ledgers from source documents
• Perform routine calculations to produce analyses and reports as requested by the London finance team and the Managing Director - Middle East
• Create, send, and follow up on invoices
• Review and adhere to company budgets
• Collect information for and prepare payroll monthly
• Matching invoices to statements and purchase orders to invoices
• Input accounting data into the accounting system with speed and accuracy
• Assist in the production of financial statements and applications, preparation of spreadsheets, reports and correspondence as required
• Plan, organise and manage own workload to ensure your contribution to the company’s monthly financial reporting process is achieved in a timely and accurate manner
• Review and audit financial statements and reports, ensure all calculations and data entries are correct
• Ensure swift payment of supplier invoices
• Resolution of finance related queries
• Assist with end of year preparation and procedures
• Attend finance department and company-wide meetings, sometimes assisting with financial reporting to managers and senior executives
• Provide financial support to team members
• Reconcile any discrepancies or errors identified by conversing with employees and/or clients
• Any other duties that may be deemed appropriate to this role
• Adhere to the company's or organisation's financial policies and procedures
• Suggest changes or improvements to increase accuracy, efficiency, and cost reductions.
• Answers question and help to stakeholders, customers, and clients as needed
• A certain level of flexibility regarding availability outside normal working hours is required during month end and when required

Office Assistant
You will also be responsible for organising all the administrative activities that facilitate the smooth running of Dubai’s office. You will need to have an ear to the ground and be aware of everything that’s going on in the office, from knowing which important meetings will be taking place to co-ordinating deliveries and organising travel arrangements for staff. You will also often be the first person that employees and potential clients see, so you're always representing the organisation. So, having a cheery and chatty personality is vital for this role.

Typical day to day activities:
• Welcoming visitors and clients
• Booking meetings and appointments
• Arranging travel bookings for management and staff
• Arranging couriers
• Keeping the reception area, meeting space and general office tidy
• Answering, screening and forwarding phone calls
• Sorting and distributing post
• Organising refreshments for meetings and visitors
• Organising company functions, as required
• Proactively manage and order office supplies (pantry, stationery...etc.)
• Using a range of office software, including email, spreadsheets and databases
• Assisting in maintaining the condition of the office, as well as equipment, and arranging for necessary repairs by contacted suppliers
• Maintaining and filing of office documents
• Other office duties, as required

Requirements

• Experience of working within a finance department
• Advanced understanding of accounting processes and procedures
• Awareness of the provisions of the Data Protection Act and be able to apply these within the organisation
• Good level of competence in Excel, Word and Outlook and computerised accounting software
• Good communication and listening skills
• Good organisational skills used in planning own work
• Calm and professional disposition
• Self-motivated and enthusiastic
• A recognised finance qualification
• Ability to work under pressure and meet targets and deadlines
• Able to work in a busy office environment that often demands high levels of concentration

PLEASE NOTE: MUST CURRENTLY BE BASED IN THE UAE AND HAVE UAE EXPERIENCE.
