Job description / Role

Employment: Full Time

Main Duties
• Main function of this role is to work with the Fee Earners to ensure that billing and the management of work in progress on client matters is carried out promptly and efficiently and ensure efficient credit control and assisting with supplier's invoices and cashiering and banking function.
• Liaison with: Dubai and Qatar Fee Earners and secretaries, UK finance team, external clients and suppliers.

Matter Opening and Management
• Reviewing the matter details on the system against the engagement letter to ensure that matter details including billing currency, billing rates, relationship and partner details.
• Prepare and maintain a summary sheet of the main matter billing details e.g., fee arrangements (fixed fee, discounted rate, etc.), key assumptions (e.g., phases, time) and other arrangements (local counsel fee arrangement, disbursements, expert fees, etc.).
• Obtain VAT details from the client.
• Maintain electronic and physical billing file for each client, which should include engagement letter, copies of all bills/invoice, any revised fee arrangement (ensure that the fee earners provide this to them), a cover sheet/excel sheet showing invoices, and payment received against the fee arrangement (to be updated as the matter progresses).
• Review and amend all the bills prior to provision to the fee earner against the billing arrangement and for consistency with house style.
• Incorporate any amendments received from the fee earners to the bill.

Revenue Control
• Reviewing Work In Progress to maximise monthly billing, working closely with Fee Earners to ensure their matters are billed regularly and any write off/down requests are dealt with
• Producing and following up draft invoices with Fee Earners to ensure they are approved and issued to clients.
• Ensure that the relevant fee earners are advised if any of the parameters of a billing arrangement on an active matter has exceeded e.g., monitor time assumption and advised the relevant fee earner if the time assumption is expiring, if the cap fee/fixed fee is about to be reached, etc.
• Have discussion with the fee earner if the out-of-scope file is required if any quadrants of the billing arrangement have exceeded.
• Liaising with other members within the Finance department to ensure queries are dealt with quickly

Job Description
• Credit Control
• Contacting clients chasing for cash collection and resolution of aged receivables;
• Resolve customer receivable issues, disputes & claims with relevant fee earners
• Ensure appropriate prioritisation techniques & timely follow up on all outstanding debts;
• Purchase Ledger and disbursements
• Reviewing completeness of incoming suppliers invoices and dealing with Accounts Payable to ensure all invoices are booked in the system and prepared for a payment.
• Following up with suppliers on ad hoc basis e.g. regarding invoice correction or SOAs
• Assisting with booking and billing of client disbursements. Ensure that the disbursements corresponds with the agreement with the client.
• Monitor, pay and arrange for invoicing of any local counsel, expert and any third professional's fee to the client.
• Cashiering and Bank Reconciliation
• Assist with banking and cash allocation, client and office payments
• Arranging cheque collection and allocation
• Assisting with management of payments by company credit
• Perform bank reconciliations and various tasks related to cash management

Requirements

• Looking for someone who is a team player with a minimum 3 years experience in a law firm or professional services finance team.
• Must have some accounting qualifications
• experience working in credit control, purchase ledger and disbursements, cashier and bank reconciliation
• Professional approach, experience with billing and the management of work in progress on client matters.
