Job description / Role
We are seeking a professional and friendly Front Desk Receptionist to join our team in the oil trading industry. The ideal candidate will be responsible for managing our front desk on a daily basis and to perform a variety of administrative tasks.
Responsibilities:
- Greet and welcome guests and visitors
- Answer, screen, and forward incoming phone calls and emails
- Ensure reception area , pantry and office premises are tidy and presentable
- Provide basic and accurate information in-person and via phone/email
- Receive, sort, and distribute daily mail/deliveries
- Maintain office security by following safety procedures and controlling access via the reception desk
- Order front office supplies and keep inventory of stock
- Update calendars and schedule meetings
- Arrange business travel, including visas, tickets and accommodations
- Arrange and control IT support and manage website
- Arrange documents translation and attestation
- Keep updated records of office expenses and costs
- Cooperate with 3rd parties providers for office and company needs
- Perform other administrative duties upon request
Requirements
- 2+ years' experience as a Receptionist, Front Office Representative, or similar role
- Proficiency in Microsoft Office
- Hands-on experience with office equipment
- Professional attitude and appearance
- Solid written and verbal communication skills in English
- Excellent organizational and interpersonal skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude
- High school degree; additional certification in Office Management is a plus
- Experience with DMCC is a plus
