Job Description will be as the designation says in Hotels / Restaurant Industry located in Dubai, UAE for one of our client, a reputed property in Dubai Marina is seeking for dynamic candidates to fit their growing team of hoteliers. PRIMARY DUTIES:
Financial Strictly adhere to the established financial guidelines and control all costs. Ensure that all in-coming guests post the required deposit. Regularly review ‘Open Balance’ report and ensure that guests in-house have sufficient deposit to cover for their estimated total charges upon departure. Verify and imprint credit cards for authorization/completion/sale using electronic acceptance methods. Handle cash, make change and balance an assigned house bank. Accept and record vouchers, traveler’s cheque and other forms of payment.

Convert foreign currency at current posted rates. Perform accurate, moderately complex arithmetic functions using acceptable electronic device; including corrections and adjustments in guest folio. Post charges to guest and house accounts using the computer system. Maintain an accurate filing system. Liaise with Front Desk colleagues on all outstanding bills and ensure full payment of departing guests. Ensure that the hotel credit policies are adhered to at all times.

Perform daily “bucket check report” against guest folio ensuring that charges are accurately posted and support receipts are properly filed/attached. Ensure that team members’ and one’s cash report is balanced and closed at the end of the shift with remittance envelop dropped in the cash vault. Operational Effectively supervise all services provided at the Front Desk, that these are always available and are carried out efficiently as per Departmental Operations Manual. Supervise responsible usage of all available systems and equipment at Front Office including PMS(Property Management System), credit card machine, key system, etc.

Take endorsement from previous shift, follow up on any outstanding matters and ensure the delivery/completion of service. Ensure the maintenance of an atmosphere of tranquility at the reception desk, never giving the impression that there is a problem. Ensure that all incoming reservations for the day match the necessary accommodation. Review all reservations, assign room blockings and liaise with Guest Relations Agents on amenity orders.

Constantly check reservations to ensure room availability and special blockings are handled correctly. Perform registration process by obtaining data from guest and by observing the established guidelines. Check all transactions performed by Front Desk colleagues during shift and countersign on designated space in the registration card signifying approval. Ensure that repeat guests are pre-registered, when necessary.

Update and maintain guest history/profile of all guests. Promptly answer the telephone, within three rings. Use your name when answering, speak clearly and in pleasant voice. Take and deliver accurate and timely guest messages, either manually or via the computer system. Close guest accounts at time of check-out and ask guest how they enjoyed their stay. In the event of dissatisfaction or dispute, negotiate compromise, which may include authorizing revenue allowance. Ensure the strict control of room keys. Supervise the key handling procedures ensuring maximum security. Ensure that all rooms which are due to check-out are followed-up and updated in the computer system accordingly.

Guests who have checked-out must be checked-out from the computer system. Accept, enter and process room reservations for both the hotel and sister hotels. Print ‘Down-Time Report’ periodically. Be familiar with all hotel services, offers and facilities and their operating hours. Guest Service Constantly strive to please all guests with whom he/she may come into contact during his/her working hours. Greet customers immediately with a friendly and sincere welcome. Use a positive and clear speaking voice, address the guest by name, listen carefully to understand requests, respond with appropriate action and provide accurate information such as outlet operating hours, hotel facilities, activities taking place and local attractions.

Ensure to establish rapport with guests, coordinate all guest requests and enquiries. Ensure to provide a courteous and professional service at all times. Handle guest telephone queries and complaints in a courteous and professional manner. Liaise with the Front Desk Manager on any guest complaints and problems. Ensure proper handling and documentation of guest’s valuables being secured in hotel safety deposit box. Employee Handling Assist and cooperate in the building of an efficient team of employees by taking an active interest in their welfare, safety and development.

Communicate effectively both verbally and in writing to provide clear direction and information to Front Desk colleagues in performing their tasks. Assist in the training of Front Desk colleagues ensuring that they have the necessary skills to perform their duties with the maximum efficiency. Supervise Front Desk colleagues, ensuring that the correct standards and methods of service are maintained as stated in the Department’s Operations Manual. Ensure that you and all Front Desk colleagues have a complete understanding of and adhere to the hotel’s policy relating to fire, hygiene, health, safety, rules and regulations.
