Job description / Role

Employment: Full Time

We are looking for a Junior Contracts and Tenders Specialist to join our Admin and Procurement Team.

Reporting to the Assistant Manager - Procurement and Contracts, you will be responsible for administering vendors, drafting contracts and handling all procurement related tender activities.

Your key accountabilities will include:
• Develops vendor databases for all categories and business units
• Administers vendor registration and pre-qualification activities and tasks
• Handles vendor evaluations and performance activities
• Handles all tasks related to tender activities
• Executes all procurement tasks including but not limited to understanding end-user needs, issuing RFQs, negotiating, evaluating, recommending supplier selection, creating and issuing Purchase Orders,
• Develops and drafts all procurement contract templates and other documents
• Drafts contracts for procurement
• Liaises with all stakeholders to execute the contract process
• Develops innovative procurement methodologies to Identify and implement cost saving opportunities
• Monitors the contract milestones and renewals
• Prepares reports and conducts analyses such as spend analysis
• Assists in developing an e-Procurement System and a Contract Management System for the department
• Assists line manager with bid management, commercial negotiations, techno-commercial evaluation, risk management

You will assist the line manager in executing procurement and contracts strategies, policies and procedures, so you need to be someone with attention to details and strong foundation of drafting contract, tender management and indirect procurement. You will be someone knowledgeable of contracts and related terms and conditions.

Requirements

• University Degree, preferably in a related discipline
• CIPS diploma holder or enrolled in the program to be completed in next 12 months
• 3 years of strong contract drafting, tender management and indirect procurement experience with focus on implementing best practices
• Experience with e-procurement system such as SAP or Oracle

Job Knowledge:
• Excellent spoken and written English language skills
• Excellent Oral & Written Communications skills
• Knowledge of Contracts and related terms and conditions
• Presentation skills

Functional & Technical Skills:
• MS Word, Excel, PowerPoint and Outlook
• Language: English
