Employment: Full Time

Our client, a leading law firm is wishing to recruit an experienced legal secretary for their Dubai office.

The purpose of the role is to provide fee earners with effective high-quality PA support that appropriately meets their requirements, enabling them to focus on providing legal services and client development.

Overview
The role will be primarily assisting a Senior Partner, and up to two additional Associates.

Extensive experience transcribing dictation is essential for this role. Accuracy and speed will be tested as part of the interview process.

- Assisting with front reception to cover sickness and overflow.
- Transcription of dictated documents, and formatting of documents to Firm style standards (including cross referencing, table of contents, management of footer, header, margins etc)
- Proofread all work to ensure that completed documents are error free and to Firm style standards
- Performing new matter conflict checks and global screening on World Check
- Establishment and managing matter files on the Firm’s Document Management (DMS) and Practice Management systems.
- Draft engagement letters and/or client-care emails and liaise with matter managers to ensure signed engagement letters are returned and filed appropriately
- Prompt digitization and electronic/physical filing of paper documents, emails and other client correspondence
- Ensuring all client / matter contact information is correct and accurate
- Complete post-deal/matter activities including maintenance of paper files and closing matter as agreed with the Partner
- Management of active matter Work in Progress and outstanding invoice balances
- Assisting with matter invoicing
- Flexibility with working hours as required by the Firm

Hours: Sunday through to Thursday 8am to 6pm. Salary in the range of AED12-15K.

Requirements

The ideal candidate will have strong drive, initiative and proactivity, along with a willingness to take a personal interest in contributing to the improvement of the Firm. Excellent organization and time management skills, along with fluency in written and spoken English are expected.
- Previous experience with a legal practice management system (ideal: Aderant)
- Previous experience with an electronic document management system (ideal: iManage Filesite)
- Extensive experience with transcribing dictation (ideal: familiarity with North American accents, 90+ WPM at 90%+ accuracy)
- Advanced MS Word knowledge: formatting, cross referencing, multilevel numbering / bulleting, automatic table of contents, redactions, and document comparisons
- Strong MS Outlook, Excel and PowerPoint knowledge
- Previous experience with digital / paperless workflow (ideal: Experience publishing PDF documents)
- High fluency in verbal and written English.
- Previous experience with legal billing would be advantageous
- A good understanding of legal terminology, documents and procedure
