Logistics Coordinator
Department: Raw Materials & Ingredients
Location: Dubai, UAE

Job Purpose:

• Logistics Coordinator for the Raw Materials Division

Scope of Tasks:

• Coordinate the shipment of goods from the Supplier to the destination port are arranged and completed in a timely manner
• Be attentive to transit times and documents submission deadlines, helping to find suitable transporting solutions with suppliers and sales managers
• Make sure documents are compliant to each country’s customs regulation
• Keep regular contact with the suppliers and sales managers for updates on the status of the shipments and escalate accordingly when necessary
• Make sure that all necessary and requested documents are in place for each order and completed correctly
• Monitor shipments developments as ETAs and due dates to keep the system updated
• Ensure documents are received on time by the customer according to the chosen payment term, and liaising the same with the sales managers
• Banking documents export collect completion
• Logging all logistics related issues into the incident folder and updating the ‘Customer Complaint Form’ on claims related to the area
• Maintain a proper filing system in respect to all incoming and outgoing documents related to the orders
• Work with forwarders to provide transport quotation when needed
• Keep regular contact with the Insurance company to insure Customer shipments and handle Customer claims

Scope of Responsibilities:

• Accountable for deliveries to be completed in accordance with the agreed time frame at the right location.
• Maintain a close communication with suppliers, recording and reporting production issues that disrupts the supply chain of the orders
• Responsible for regularly updating the Sales Manager with shipment status, documentation status
• Problem solving of issues related to Logistics
• Ensure compliance with all country specifics environmental, safety, and hazardous waste regulation

Requirements

Skills:

• Overall skills: Customer Service Team player Organization Decision making and proactive skills Interpersonal Skills Good communication Problem solving Familiar working on a fast paced trading environment

Education:

• University degree in international commerce, administration or related field

Experience:

• Extensive experience in international shipping, documentation and stock management (5 y)
• Familiarity in dealing with imports/ exports from/ to Europe is a must, preferably in the food industry
• Knowledge of shipments main incoterms, international payment terms and Letter of credit negotiations as well as legalization and official authorities procedures
• Any knowledge on north America imports is a plus
• Computer knowledge
• General MS office
• Previous experience with Microsoft ERP systems is an advantage

Languages:

• Fluent command of English is a must Spanish and/ or French speaking (preferably Spanish) for EU coordinator
• Other language would be a plus EU desk additional remarks:
• Knowledge trading regulations, as well as taxes (VAT) applications and procedures – VAT desirable
• Desirable experience with freight forwarders and in the food industry
• Ability to react quickly on problems and finding solutions
• Ability to analyze data and put together reports on logistics shipments and incidents management
