Job description / Role
My client a Multinational Insurance company based in Dubai, is seeking to recruit a Logistics Supervisor to be based in Dubai, UAE. The role offers a fixed salary of between 13 – 16k AED monthly.
Job Purpose
To source, equip and maintain suitable office accommodation for our clients GCC operation. To manage office logistics operations including; office layouts, furnishing, decoration, maintenance contracts, utilities provision, working closely with the service providers where necessary. To develop and manage centralized document handling facilities at the main operational sites.
Area of Knowledge:
Office fit out processes, local building customs and practices, pricing of fit out tasks, technical MEP knowledge
Main Accountability:
• Project manage all office fit-outs and office furnishing activities
• Manage staff and departmental office moves.
• To manage the spend from approved budgets.
• To establish and manage a centralised document scanning facility.
• To advise on leasing and other fixed costs associated with office leases.
• To ensure utilities provision and billing is accurate, and bills paid.
• To ensure the efficient use of all logistics resources (power, water, paper, space etc.)
• Ensure office maintenance contracts are appropriate and effective.
• To advise on physical aspects of maintenance and improvements, and arrange/manage external resources as required.
• Provide regular and ad hoc reports as required by management and the business.
• To develop and support an effective document archiving service.
• To support the Business Continuity Management team of providing emergency office facilities.
Requirements
Business Knowledge:
• Awareness of customer (staff and visitors) office requirements and processes, business strategy in terms of locations of operation and activities
Additional Knowledge:
• Confident in AutoCAD
• Knowledge of regulatory and customary practices with authorities and contractors in regards to office fitout and maintenance activities in the Gulf region.
• Practical eye to office design and requirements.
Supervisory/Managerial/Leadership Complexity:
• Will be responsible to manage/supervise 3rd party contractors and staff temporarily assigned to them.
Independent Thought and Judgment:
Must be able to make decisions on area of specialization (office building and maintenance projects) these make have financial impact up to 100k AED
Level of Authorities:
Can authorize contact (lpo’s) up to a value of 100k (values above 10k must be verbally pre-approved my manager), can authorize payment of invoices up to value of 100k following necessary inspections and acceptance of delivered service or supplies
Functional Skills/Physical Competencies: e.g. Industry Knowledge, Stress Management, Time Management, Relationship Management.
• 2 years experience in similar role
• Educated to degree standard
• Fluent in English (written and spoken)
• Experience user of Microsoft Word, Excel, PowerPoint, and Project
Travel will be required to other Gulf countries, 1 or 2 overnight stays may be necessary.
Position will be based in Dubai.
Hours of work, flexible as required by the role, averaging 40 hrs/week
