Job description / Role

Employment: Full Time

Job Purpose
Supervise and coordinate the movement of passengers and materials in the field. Ensure safe, smooth and efficient methods of mobilizing movement of passengers and freight. Ensure optimization of logistical resources of fixed wing, helicopter and marine crew boats.

Job Specific Accountabilities (Part 1)
- Verify and report on availability and safekeeping of purchased chemicals in local suppliers' warehouses.
- Supervise the timely and safe transportation of accepted chemicals to Company main warehouse and/or specified delivery points in various operation locations.
- Provide adequate transport, supervise loading operation and inspect loads to ensure roadworthiness and compliance with Company safety procedures and applicable statutory regulations for safe transportation of inflammable and hazardous materials and items fabricated at local fabrication contractors' facilities. Issue delivery notes, safety data sheet and advises receiving party at destination, as required.
- Carry out administrative duties and co-ordinates with freight forwarders for the clearance and deliveries of imported and exported materials via Air & Sea freight. Allocate freight forwarding tasks and prepares Materials Movement Orders (MMO). Collate invoices received from the contractors; verify charges and forwards for payment. Prepare monthly accruals and advises Finance Department for necessary action.
- Scrutinize requests for Customs Release Note to Customs for all imported materials via Sea & Air freight including imports against projects. Prepare and provide costing for tentative FOB shipments to Buyers for comparison and arranges such shipments when found economical. Coordinate with Buyers, Suppliers, Manufacturers and Freight Forwarders for collecting/importing by Air/Sea Freight materials ordered Ex-works, FAC and FOB to Abu Dhabi Airport/Seaport.
- Conduct planned visits to the Port/Customs Authorities to discuss various issues related to the activities. Participate in periodic check/inspection on contractor handling company consignments at Seaport to ensure that the materials are handled in line with the guidelines.

Job Specific Accountabilities (Part 2)
- Coordinate and support transportation activities in the fields. Plan methods of transportation that most effectively utilize available helicopter and marine boats transportation resources.
- Prepare the flight plan for Abu Dhabi Aviation based on GCCA rules and regulations for helicopter operations to and from complexes and throughout installations.
- Monitor all flights and directly contacts the pilot by air guard radio in case of abnormal situation. Supervise and ensure that helicopter-refuelling operations are conducted by meeting the agreed standards. Ensure all fuel issues are recorded and local storage of fuel in the helideck area.
- Supervise and coordinate crew/utility/maintenance service vessels including planning and coordination with concerned users. Coordinate all supply boat docking, off-loading activities and loading to ensure that operations are carried out in accordance with safety regulations.
- Coordinate the dispatch, receipt, checking, temporary storage and forwarding of all incoming and outgoing sea, airfreight, materials and spare parts.
- Supervise installations crane operations and provides work instructions to the crane operators and rigger. Ensure that all activities are carried out in accordance with safe working practices and regulations.
- Maintain detailed records of all traffic operations, including helicopter trips, names and number of personnel transfers, supply boat loading and number of tonnes of materials handled. Prepares monthly end statistics.
- Optimize flying hours of the helicopters. Prepare daily field personnel movement records. Supervise the personnel tracking system in the entire field.
- Coordinate training courses for oil spills and firefighting training for all helideck attendants and ensures adherence to Health, Safety and environmental objectives.
- Ensure by appropriate monitoring and review that work under his control is performed in a safe and environmentally sound manner.
- Ensure provision of round the clock duty coverage to meet emergency requirements.
- Work in line with HSE Policy, and ensures awareness and compliance of HSE rules and regulations by subordinates.

- Train and develop the assigned staff on relevant skills to enable them to become proficient on the job and deliver the respective section objectives.

- Provide input for preparation of the Department / Section budgets and assist in the implementation of the approved Budget and work plans to deliver Section objectives.
- Investigate and highlight any significant variances to support effective performance and cost control.

- Implement approved Department / Section policies, processes, systems, standards and procedures in order to support execution of the Section's work programs in line with Company and International standards.
- Comply with all applicable legislation and legal regulations.

- Contribute to the achievement of the approved Performance Objectives for the Department / Section in line with the Company
Performance framework.

Requirements

- Design and implement new tools and techniques to improve the quality and efficiency of operational processes.
- Identify improvements in internal processes against best practices in pursuit of greater efficiency in line with ISO standards in order to define intelligent solutions for issues confronting the function.

Health, Safety, Environment (HSE) and Sustainability
- Comply with relevant HSE policies, procedures & controls and applicable legislation and sustainability guidelines in line with international standards, best practices and ADNOC Code of Practices.
- Participate in Emergency Response duties as a team member.

Reports
- Provide inputs to prepare Section MIS and progress reports for Company Management.

Minimum Qualification
- Diploma in Logistics or equivalent.
