Job description / Role

Employment: Full Time

Administration

- Coordinate with suppliers' quotations for print production of collateral.
- Coordinate with purchasing any outstanding purchase requisitions.
- Collection of press clippings and build up a press archive.
- To maintain a database for media, suppliers and events companies.
- To maintain the hotel photo library and filing.
- To ensure that an efficient and accurate filing system, both manual as well as electronically is maintained at all times.

Financial and Revenue Responsibilities

- Follow up and ensure payments to suppliers are settled.
- Works with superior in the preparation and management of the department's budget. Duties include:

- Assists in coordinating the preparation of the departmental annual budget
- Assists in monitoring and controlling departmental costs on an ongoing basis to ensure performance against budget
- Assists in the preparation of the hotel strategic plan, goals program, and Marketing Departmental Budget

- To follow policies and procedures of the company as well as the rules and regulations of the country.
- To comply with local legislation as required.
- To attend trainings when required.
- Ensure wherever possible that employees are provided with a work place free of discrimination, harassment and victimisation.
- Treat complaints of harassment and discrimination promptly and confidentially.
- Treat customers and colleagues from all cultural groups with respect and sensitivity.
- Identify and deal with issues which may cause cross cultural conflict or misunderstanding .

Guest Service Responsibilities

- Ensure media or VIPs stays and reviews are communicated to other departments and all special requirements are noted and met.

Marketing & Communications Responsibilities

- To assist the Marketing & Communications Manager in developing and implementing effective PR and advertising strategies.
- To liaise with appointed advertising agency or in-house graphic designer with design and layout coordination and production of stationary, collateral, ads, brochures and graphics.
- To organise and conduct photo shoots.
- To track and maintain information about competitors' marketing and communication activities in Dubai market (promotions, offer, articles, advertising, collateral) and to develop and update a filing system for all information.
- To track and maintain information on Food & Beverage trends and competitors' activities.
- To assist the Marketing & Communications Manager to create property press kits, press releases and creative communication of news worthy items with the PR agency.
- Regular update of the press kits.
- To ensure the correct policy and brand standards are followed by the hotel in all marketing collateral, advertising and E-Commerce.
