Job description / Role

Employment: Full Time

Operational Excellence
• Co-ordinate with recruitment team and candidate for smooth on-boarding and ensure required approvals and documents are in place before new joiners are on-boarded.
• Prepares new employee files, ensures they contain all relevant and required forms and scan all documents uploading them onto Open Text
• Responsible to co-ordinate with E&Y for employee’s tax briefing and ensure employee’s tax liability status is confirmed before joining
• Responsible to add new joiners in SAP and ensure all the information required from system perspective are captured and follow up on missing information.
• Coordinate with travel desk to arrange mobilisation flights and hotel accommodation
• To ensure EIC channel is followed for all communications with stakeholders involved in recruitment and on-boarding process. Direct candidate queries to recruitment team through EIC channel
• Co-ordinate with PROs and candidate to arrange labour approval and visa as per local labour law
• Maintain a tracker for new joiners to ensure required documents are collected within defined timelines and escalation process is followed regularly to notify recruitment and employee services manager
• Coordinates hiring communications for candidate to be offered ensuring candidates receive their contracts and offer letters, complete and send forms and are aware of requirements for visa preparation process;
• Co-ordinate with off-shore team to prepare contractual change letters as and when required
• Works across Recruitment teams to provide support as required

People and Culture
• Perform and carry out other duties as instructed / directed by the Manager Employee Services

HSQE
• Awareness of the Integrated Management System and the content of the Safety, Assurance & Environment and Information Security Policy Statements
• Understand the personal responsibilities and contribution of their staff (including subcontractors) in achieving compliance with the Integrated Management System, Competence Management System requirements, control measures and legal requirements;
• Ensure any environmental impacts, job safety analysis, information security risk assessments and competence assessments within their area of responsibility are embedded in the management systems, and communicated to those affected with a complete understanding of the potential consequences of departure from the arrangements in place;
• Exercise a personal duty of care for their own health, safety and welfare including those affected by the acts or omissions and promote the same within their area of responsibility;
• Use safety equipment (including PPE) as required and ensure that this is also enforced within their departments amongst subcontractors and third parties working in Serco’s controlled premises/systems
• Ensure that a good SAE and Information Security culture is promoted within their departments amongst their peers, subcontractors and third parties
• Lead by example ensuring ways to conserve energy, water and resources that minimize the generation of waste within their area of responsibility
• Protect information assets and data including both electronic and paper based from all threats whether internal, external, deliberate or accidental
• Promote a good SAE and Information Security culture amongst their peers, subcontractors and third parties;
• Conduct regular reviews on the SAE and Information Security Performance within their departments for continuous improvements
• Carry out regular health and safety tours and inspections at various locations

Requirements

• Knowledge of the principles and practices of administration in general
• Basic knowledge of HR practices is preferable
• Familiar with the labour and immigration rules of countries like India and SE Asia (preferable)
• Responsible, pleasant and a good team player.
• Proficient in MS Office applications.
• A mature, proactive and responsible approach to work with initiative and problem solving capability.
• Able to hold sensitive and confidential materials in strict confidence.
• Able to work independently under stringent deadlines and high pressure environment.
• Function as a resourceful and proactive team member.
• Strong organizational skills with attention to detail and the ability to prioritize and multi-task and meet deadlines and schedules
• Ability to collaborate effectively with cross functional teams.
• Adapt well to changing priorities
• Excellent attention to detail with the ability to spot possible errors and escalate concerns or queries to the relevant people
• Extensive experience using MyHR (SAP) is essential
• A background in recruitment or HR administration is preferable but not essential
• A minimum of 1 year administration experience

Scope and Complexity
• Administrative and clerical work, understands the systems and procedures associated with work in the department or unit
• Performing routine clerical activity, for example post room. Repeating activities for which detailed training covering all common eventualities has been provided. Typical training and experience to full capability is 1 to 3 months
