Responsibilities and Accountability

The post holder is professional, corporate, dynamic, intelligent and ambitious, with a background in Business. The incumbent manages the CEO's office, including intricate diary management, the organization of meetings, global travel logistics, taking minutes of meetings, assisting with PowerPoint presentations, preparation of board material and research projects. He/She must work at a fast pace, maintaining attention to detail and quality work all while anticipating the CEO's needs.

The post holder proactively oversees the CEO’s workload and completes tasks as directed by the CEO. This includes maintaining the CEO’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel. This also includes producing information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. The incumbent conserves the CEO’s time by dealing with a wide range of telephone enquiries and correspondence, managing and processing incoming and outgoing mail, reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications.
The post holder is a flexible team player, able to maintain strong relationships both internally and externally. He/She is well educated or qualified by experience; a minimum of 8 years’ experience supporting at a senior level is required. The incumbent is also highly computer literate, an adept multitasker and very astute in dealing with investors as well the staff in the office.

Requirements

Working in a similar position for at least eight years. Ability to work with confidential and sensitive data. Financial acumen is a big plus. Being an expert in MS Word, Excel and Office usage. Handling stress and working flexible hours (putting in the time when necessary)

The Senior Executive Secretary reports directly to the Chief Executive Officer and maintains strong stakeholder relationships across the organization.
