Job description / Role
Receptionist / Administrator:
First point of contact for any visitors / deliveries. Making sure gusts are dealt with swiftly and meetings rooms are kept to a high standard. Answering phones in a timely manner and taking messages when required. Support the Office Manager and other employees with admin tasks and assist with smooth running of the office.
Role & Responsibilities:
- Answering calls / taking messages.
- Receiving guests and arranging refreshments for meetings.
- Booking / receiving couriers & deliveries.
- Dealing with office maintenance repairs with Al fattan currency house.
- Checking stocks of groceries, paper, water, stationary and consumables and reordering when necessary.
- Maintaining filing system in office.
- Manage IT mobile phone issues with Du / Etisalat Unified.
- Ad hoc typing & projects.
- Managing meeting rooms to a high standard.
- Assisting with notarization / attestation of documents when required.
- Assist staff with travel bookings by coordinating with our travel agent / hotels
- Assist with expense / reimbursement submission and report
- Petty cash summary
- Compile, REPORT and submit invoices for payment
Requirements
- Experience in a similar role, in a professional firm / office
- Good English skills
- Organized and able to multi-task
- Able to be flexible when required and work out of hours when needed
- Good Attendance
