Job description / Role

Employment: Full Time

Due to expansion, our client, a leading Property Developer (Shopping Malls) is looking to recruit a Leasing Coordinator to be based in Dubai.

The successful candidate will be responsibility for assisting Leasing and Lease Administration management team on activities related to leasing of new and existing properties within its portfolio.

Duties will include but are not limited to the following:
• To keep a strong record and track of all the activities.
• To coordinate between all the tenants and internal departments
• Liaise with other support departments.
• Conduct presentations and site visits for prospective tenants in order to promote the various schemes managed by the company.
• Develop a close working relationship with all tenants, encouraging them to conduct their business efficiently and effectively, in compliance with the requirements of their leases and any supplemental regulations.
• Preparing offer letters, issuing lease agreements & addendums based on negotiated terms.
• Liaise with the retail fit-out team in transitioning executed contracts through to the unit handover and commencement of fit-out.
• Be involved in all aspects lease administration, filing systems & specialty leasing for the company.
• Create tenant profiles and accurate databases for each tenant category to facilitate information retrieval and ensure a proper follow-up system.
• Rent payment collection and negotiating on deferred payment plan for selected retailers.
• Maintain a constant updated stock of prospective tenants and/or investors, potential brands, concepts and market intelligence.
• To effectively liaise with other departmental administrators and coordinators to ensure efficient leasing operations.
• To attend meetings and deliver minutes of the meetings accordingly.
• To prepare presentations, draft letters, memos, and send out emails as requested by Head of Department
• Preparing reminder letters and renewal agreements for expiring leases.
• Preparation of termination/expiry letters when required.
• Prepare memos for Finance Department (Accounts) to raise invoices.
• Monitor arrears and follow-up with tenants as necessary
• Complete monthly revenue reports.
• Prepare legal cases when needed to be presented to Head of Dept. or Legal team.
• Coordinate with Legal Department to stamp new and renewed leases.

Requirements

• Bachelor’s degree in Business Administration or similar
• 2+ years relevant work experience
• Effective interpersonal skills and problem solving ability
• Strong verbal/written communication skills
• Ability to understand, interpret, and abstract complex real estate lease terminology
• Ability to work independently, think critically, and demonstrate ownership of job tasks
• May be required to travel both locally and nationally as needed
