Employment: Full Time

You are a multi-tasker and are able to work independently, performing a wide range of complex and confidential administrative duties to support your team. You communicate well with all contacts, anticipate and resolve issues, and update team your various projects.

What you will be doing:
- Maintain clear and easy to find reference/ filing system
- Ensure all correspondences are standardized and high quality remained
- Provide administrative support for the DOSM, Sales Managers & Event Sales Executives.
- Carries out special project as assigned by Sales Managers and Event Sales Executives
- Ensure adequate stocks of office supplies and initiates requisitions for approval
- Periodically update mailing address for existing corporate accounts and other database
- Monitoring system for attendance, annual leave, public holidays and sales calls.
- Provides admin support to the Assist. Marketing Manager as and when required.
- Maintains a high level of exposure for the hotel in major market areas through direct sales solicitation, telephone, fax, written communication.
- Ensures that all phone calls within the department are attended and positively engages clients requirements
- Maintains pleasant attitude throughout every customer contact
- Takes full responsibility on updates of sales managers company details as provided.
- To provide weekly, monthly and annual reports if required
- Assist in preparation of Corporate Agreements and group contracts.
- Assist in update and uploading production and contracts in ASA.
- Attend daily line-ups and communicate daily challenges with the rest of the team.
- Ensures that sales personnels are updated with client enquiries and requests.
- Handles confidential documents, including accurate personnel file status of the department's employees, with strictest confidence.
- Assist on travel preparations and scheduling for DOSM & Sales Managers
- Prepares the Group Materialization/Cancellation Report on a monthly basis.

- Competency using a variety of computer softwares
- High School Diploma or equivalent required.
- Must have a minimum of 1 year progressive administrative or customer contact position
- Previous experience in a multi-cultural environment is essential.
- Communication skills : PowerPoint, Word, Outlook
