Job description / Role
- Site office administration
- Couriers
- Coordination of approval of invoices with accounts
- Computer network and back up
- Arranging of service and repair of all office equipment
- Ordering for project team requirements ie office supplies, staff amenities etc
- Cleanliness and presentation of site office
- Order water, pantry supplies, stationery supplies, toner, cartridge, A3/A4 paper
- Prepare reconciliation of petty cash
- Liaise with HO for booking of hotel, air and ferry tickets
- Update telephone list and distribute
- Arrange Air-conditioning cleaning
- General reception duties, serving tea and coffee to guests
- Typing and distribution of minutes
- Filing
- Telephone reception
- Assisting Project Manager and Commercial Manager whilst on site
- Social issues
- Monitor tidiness of office, pantry and conference room
- Control booking of conference room
- Distribute daily mail, mail letter or courier
- Mail and deposit cheques to Accounts Department
Requirements
General:
- Represent the company in a professional and ethical manner at all times
- Advise and consult with management about:
- All problems and risks as they become known
- Client requests in respect to allocation of resources, program and any commercial matters soon after they are made
- Any subcontractor or supplier problems relating to that project
- Liaison between head office and site office
Competencies/Experience:
- MS Office packages particularly MS Word, MS Excel, MS PowerPoint
