KEY ACCOUNTABILITIES AND RESPONSIBILITIES
- Develop reporting tools for Class 1 document review, targeting documents for critical review and with focus on delivery and review cycle performance. Establish Procurement Dashboard to be able to show an overview for all packages together
- Extract Aconex data, cleanse and publish daily reports for project teams, highlighting any variations between the original planned issue dates and actual issue dates.
- Reporting on document delays where EPC CONTRACTORs have not submitted documents as per the project schedule.
- Develop email automation to notify each engineer of the Overdue, Due and Near Due documents on a daily basis.
- Establish data cleaning processes in preparation for using data in reporting tools.
- Build and maintain Aconex workflows as required to assist Engineering Team.
- Evaluate project team requests for ad hoc reporting and make recommendations for implementation.
- Download Aconex data in preparation for building and issuing document Daily Report, Historical Document report, Document Pending and Documents in workflows.
- Develop visual reporting tools, trend and status graphs, to see status of document Delays, Not Received and Correlations.

KEY RESPONSIBILITIES AND ACTIVITIES
- Co-ordinate and be the focal point for data reporting queries from IPMT.
- Understand the client and internal project requirements for data collection, conditioning, reporting and turnover.
- Build the architecture to provide the foundation for reporting and dashboarding.
- Interface with IPMT to ensure active exchange of best practice and alignment of document
- Manage the day-to-day data management and collection queries raised by IPMT.
- Setting up of tools that allowed the automation of reports for upper management regarding status of the projects.
- Support IPMT team on data visualisation, designing reports and KPI's on data extracted from supporting systems. Development of procedures/specifications as required

INTERFACES
- Weekly meeting and ad hoc workshops with EPC CONTRACTOR's, Document Control, Project Controls, Engineering and Project Management Teams for application.

PEOPLE
- Participate in team building activities to contribute to a well-functioning of the organization.
- Provide technical support and input to the individual project packages and Project Management.

ENGINEERING
- Align reporting requirements across all packages and EPC CONTRACTOR's.
- Develop informative reporting tools to assist in on-time document reviews.
- Assist in maintaining MDR, EDDR, DDM.

QUALITY
- Analyse documentation schedule data identifying inconsistencies and anomalies in EPC CONTRACTOR's delivery programme.
- Report on CONTRACTOR document data quality issues to Project Management and propose mitigation measures
- Data cleaning for documentation of time analysis.

RISK
- Contribute to risk logs and risk registers with appropriate analytics for document management.
- Evaluate, log, and report risks and identify opportunities for risk mitigation within document management area. Keep SPM, Project Controls and Project Information Manager informed
accordingly.
- Identify negative trends and items of concern for the EPC CONTRACTOR's document delivery.
- Perform Gap analysis of Deliverables throughout Project Registers.

REPORTING REQUIREMENTS
- Provide inputs to the Project Information Manager for the weekly reporting.
- Set up effective Data Analysis tools to monitor and report Project Progress.
- Develop, implement, and maintain automation of reports for upper management regarding status of the project.

Requirements

QUALIFICATIONS, EXPERIENCE, KNOWLEDGE & SKILLS
- Experience in Document and Data Management combined with Project Control
- Administration of electronic database tools to analyse, manipulate and transfer data, ETL.
- Worked for major Oil & Gas Industries, experienced in all project phases, from FEED, BID ,throughout EPC to Start Up, from Client, Contractor, and Engineering perspectives.
- Expert-level understanding of project information and document management processes.
- Ability to translate Client requirements into reports for management understanding and consumption.
- Expert knowledge in document management, data manipulation, interrogation and reporting.
- Reporting Automatization through Excel using SQL and Visual Basic for Application.
- Management of Change processes

Professional Certifications
- Bachelor's degree or equivalent from an accredited institution.
- Data Analytics certification preferred.
