JOB DESCRIPTION / ROLE

Employment: Full Time

We are looking for a reliable Office Administrator with Product Registration and Logistics background.
Please read below Job Description carefully and apply ONLY if you feel you fit into our requirements.
Preferably a Filipino lady, monthly salary from 5,000 - 7,000 AED.

Administration:
• Coordinate office activities and operations to secure efficiency and compliance to company policies.
• Manage agendas/travel arrangements/appointments etc. for the upper management.
• Manage phone calls and correspondence (e-mail, letters, packages etc.)
• Support budgeting and bookkeeping procedures.
• Create and update records and databases with personnel, financial and other data.
• Track stocks of office supplies and place orders when necessary.
• Submit timely reports and prepare presentations/proposals as assigned.
• Assist colleagues whenever necessary.

Logistics:
• Coordinate and monitor supply chain operations.
• Ensure premises, assets and communication ways are used effectively.
• Utilize logistics IT to optimize procedures.
• Recruit and coordinate logistics staff (e.g. truck drivers) according to availabilities and requirements.
• Supervise orders and arrange stocking of raw materials and equipment to ensure they meet needs.

Product Registration:
• Provide list of lines for which registration documentations are required on a seasonal basis.
• Update & advise the team on various documentation requirements for each region.
• Register all lines within the region by following the online system of the ministry.
• Continuous follow up & tracking of line level registration in the region with the ministry.
• Once stock has arrived work with warehouse team to derive batch codes on each & every item in order to obtain Certificate of Analysis.
• Coordinate to obtain the Certificate of Analysis documents for all lines with correct information.
• Certificate of Analysis to be distributed to all regions that require same for shipment processing.
• Maintain tracker to monitor live level translation done & time incurred.
• Ensure all registration documents are for processing each & every shipment to each region.
• Ensure no shipments are held up due to registration issues.

Salary:
AED 5,000 to 7,000 per month inclusive of fixed allowances.

REQUIREMENTS

Requirements and skills:
• 2+ years experience in product registration in retail industry within MENA region
• MS Office Applications, especially Outlook, Word, MS Excel and PowerPoint
• Highly organized, attention to detail
• Problem Solving
• Proactive and flexible
• Able to handle numerous tasks at one time and prioritize them effectively.
• Excellent written and oral skills
• Interpersonal skills ability to interact professionally with high level executives on regular basis.
• Ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
• Ability to maintain a high degree of confidentiality.
• Proven experience as logistics coordinator
• Experience in customer service will be appreciated.
• Knowledge of laws, regulations, and ISO requirements
• Ability to work with little supervision and track multiple processes.
• Familiarity with office management procedures and basic accounting principles.
